This is the Privacy Policy and privacy statement of Geodatix, LLC.

Our commitment to privacy

We live in a small world today, a world made small by technology.  We’re taking advantage of that technology to help you work smarter. But technology’s sword can be double-edged and proper planning and implementation is critical. In this day and age of email phishing, credit card skimmers, and nefarious data mining apps, we know our integrity and reputation are golden. One of my bosses many years ago taught me that it takes at least 100 atta-boys to make up for one aww-crap. We realize that we must provide all reasonable means to protect your privacy and your data. We value your security and privacy and strive to protect it with utmost care.

What information we may collect

When you register for Q-Scribe or any of our services, subscribe to our website or email lists, request support, tweet about our fantastic services, or generally interact with Geodatix, we may ask for your username, name, email address, phone numbers, and billing information, including credit card information.

Additionally, like most web sites, when you interact with our site(s) or services, we may collect your user and usage information such as device type, operating system, internet service provider, IP address, and information about your internet browser.

What we do with your information

We will not disclose such personal information without your written permission. However, certain information collected from you and about you is used within the context of providing the Service. The information we collect is not shared with or sold to others except under the certain circumstances and which your use of the Service is deemed to provide us a valid consent to disclose the following:

  • In order to investigate, prevent, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of our Terms of Service, or as otherwise required by law.
  • Geodatix does not rent, sell, or share personal information about you with other companies except to provide products or services you’ve requested or when we have your permission.
  • We may transfer information about you if Geodatix or Q-Scribe is acquired by or merged with another company. In this event, Geodatix will notify you by email or by putting a prominent notice on the Geodatix and/or Q-Scribe web site before information about you is transferred and becomes subject to a different privacy policy.

Geodatix uses the information we collect for the following general purposes: products and services provision, billing, identification and authentication, services improvement, contact, and research. We may also, from time to time, just give you a holler to see how it’s going.

Our commitment to data security

The security of your personal and business information is very important to us. We know our reputation depends on it. We follow generally accepted industry standards to protect the personal information submitted to us, both during transmission and once we receive it. When you enter sensitive information, such as credit card number on our registration form, we encrypt that information using secure socket layer technology (SSL). Our Q-Scribe application also uses SSL technology to encrypt data transmission. However, no method of transmission over the Internet, or method of electronic storage, is 100% secure.

With regard to credit card information, your privacy and security is of utmost importance to us. So much so, that we use a PCI compliant third part vendor to process credit card transactions and store credit card information. The security of your credit card information is their life-blood.

The data for Q-Scribe is hosted at a Tier III data center to ensure maximum up-time, security, and redundancy. That data center is protected day and night by a brigade of ninja warriors. Okay, maybe not but the data center is outfitted with physical, electronic, and managerial procedures to safeguard and secure the information we collect and store.

We strive to use commercially acceptable means to protect your personal and business information. However, with all things internet, we cannot guarantee its absolute security. Data Storage – so important we use the pro’s

Geodatix uses third party vendors and hosting partners to provide the necessary hardware, software, networking, storage, backup, and related technology require to run our services. Although Geodatix owns the code, databases, and all rights to the Q-Scribe application, you retain all rights to your data.

Data Retention – time keeps on ticking

Geodatix will retain your Information for as long as your account is active or as needed to provide the Service. If you wish to cancel your account or request that your Information no longer be used to provide you the Service, you may delete your account with Geodatix. Geodatix may retain and use your Information as necessary to comply with legal obligations, resolve disputes, and enforce agreements. Consistent with these requirements, Geodatix will try to delete your Information quickly upon request. Please note, however, that there might be latency in deleting Information from the servers and backed-up versions might exist after deletion.

Cookies – a way of life

A cookie is a small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site’s computers and stored on your computer’s hard drive. Geodatix may use cookies to record current session information. Our cookies are set to expire and you are required to log-in to your Q-Scribe account after a certain period of time has elapsed to protect you against others accidentally accessing the content of your account.

Disclosure – only if we must

Geodatix may disclose personally identifiable information under special circumstances, such as to comply with court orders requiring us to do so or when your actions violate the Terms of Service.

Changes to this Privacy Policy

As the David Bowie song goes, “ch-ch-ch-ch-changes … turn and face the strange … ch-ch-changes,” so too must we face changes, on occasion.

We reserve the right to modify this privacy policy at any time, so please review it frequently. If we make material changes to this policy, we will notify you here or by means of a notice on our homepage so that you are aware of what information we collect, how we use it, and under what circumstances, if any, we disclose it.
